2. How We Collect Your Information
- Directly from you, when you fill in an application for coaching, make enquiries on our website, provide information via our club management software or court booking system, or interact with us in other ways (for example, when you enter a competition, renew your membership, or sign up for coaching).
- From someone else who has applied on your behalf (for example, a family member or coach who has provided us with your contact details).
- From the LTA (for example, where the LTA passes on your details in connection with a complaint or query you have raised about our Venue).
3. The Types of Information We Collect
- Contact and communications information, including your contact details (email addresses, telephone numbers and postal addresses) and records of communications we have had with you.
- Financial information, including Direct Debit details.
- Certain other information which you volunteer when making use of membership benefits (for example, when making court bookings or using Venue facilities).
- We may also collect data about your health or medical conditions where you have volunteered this, for example so that we can cater for you when you attend a social event or a course or camp.
4. How We Use Personal Data
- Administration of your coaching plan or membership, including informing you about our coaching programme and taking payment of coaching and membership fees.
- Fulfilment of orders for goods and services, including court bookings.
- Research and statistical analysis about participation in tennis at our Venue.
- Communication about Venue activities that we think may be of interest to you.
- Storing your details on our online member management and court booking platform. Please note that your use of that platform is subject to its own terms and conditions and privacy policy.
- Promoting our Venue and, where you have provided consent, promoting goods and services of third parties such as equipment suppliers, coaching course operators and tennis event organisers.
5. Your Marketing Preferences
- We will always respect your wishes in respect of what type of communications you want to receive from us and how you want to receive them.
- There are some communications we need to send regardless of your marketing preferences in order to fulfil our contractual obligations — for example, payment receipts, Direct Debit confirmations, membership renewal reminders, and notices of venue closures.

6. Sharing Your Information
- We do not sell your personal data to third parties.
- Personal data may be shared with our employees and volunteers for the purposes of administering your coaching or membership.
- Personal data may also be shared with our contractors and suppliers, including tennis clubs, coaches and membership management service providers.
7. How Long Your Information Is Kept
- We keep your personal data only for as long as necessary for each purpose we use it. For most membership data, this means we retain it for as long as you have a valid membership and for six years after your last interaction with us, for accounting, tax reporting and record-keeping purposes.

- Correction: You may ask us to correct any incomplete or inaccurate information we hold about you.
- Erasure: You may ask us to delete or remove personal data where there is no good reason for us to continue processing it.
